Today's Agent Skill: Customer Refund and Return Request Response Drafter

What It Does

Refund and return requests are among the most emotionally charged interactions a small business owner handles — get the response wrong and you lose both the customer and your time to a back-and-forth that never should have happened. A clear, policy-consistent response drafted in the right tone can resolve most requests in a single reply while protecting your business from requests that fall outside your stated policy.

How It Works

The agent takes your return/refund policy, the customer's specific request and reason, the order details, and what you're willing to offer, then drafts a complete response that acknowledges the customer's situation, clearly explains what will happen, and gives them exactly what they need to complete the return or receive their refund — all in a tone calibrated to their situation.

How to Deploy It

Run this skill in Claude Code, Gemini CLI, Cursor, or Windsurf by pasting the customer's email or message and your policy details. For high-volume businesses, save the most common response types as templates in Gmail Canned Responses, HubSpot, or Gorgias. Keeping response times under 24 hours on refund requests significantly reduces chargebacks and negative reviews.
